The Executive Assistant/Paralegal at Trinity College works as part of a team supporting the senior administrators within the President’s Office. This position will primarily support the day-to-day operations of the Office of the General Counsel and Secretary of the College, which is responsible for all legal matters involving Trinity College, as well as the operations of the Trinity College Board of Trustees. The Executive Assistant/Paralegal is an important ambassador who helps manage the College’s relationships with key constituencies, including Trustees, members of the President’s Cabinet, faculty and staff employees, students, parents, alumni, donors, vendors, and guests.

Duties and Responsibilities:
• At the direction of the General Counsel and Secretary of the College, plans and coordinates logistics of Board meetings, whether in person or telephonic. Serves as critical communications point and manager of Board documents, including electronic and printed materials. Organizes and maintains trustee meeting materials and office files. Drafts original correspondence and proof-reads communications. Maintains the “Trustee Portal” website.
• Assists in management of corporate affairs, including drafting and editing of board resolutions, meeting minutes, and other materials for board meetings; creating and maintaining board books; drafting and editing legal documents such as contracts and releases. Coordinates Commencement activities for Board of Trustees, honorary degree recipients, and faculty escorts, including travel and hotel accommodations, organizing academic robes and hoods; organizes year-end celebratory dinners.
• Provides administrative support, including calendar maintenance, correspondence, meeting and travel planning, reconciliation of travel expenses and credit card bills. Maintains legal files, including daily work log of current and completed projects. Processes legal bills from receipt through approval, logging, and payment.
• Performs assigned research.

Minimum Qualifications:
• Bachelor’s degree.
• At least five years’ experience as an executive assistant and/or at least three years’ paralegal, preferably in corporate governance, litigation, or labor & employment.
• Excellent organizational and time management skills; ability to prioritize work and handle simultaneous assignments efficiently and accurately; ability to manage distractions and remain on task.
• Excellent computer skills and familiarity with technology; knowledge and ability to conduct electronic research.
• Excellent verbal and written communication skills, with attention to accuracy and detail in writing, grammar, spelling, and proofreading.
• Ability to work independently and responsibly without close supervision.
• Excellent judgment, professionalism, courtesy, diplomacy, sense of humor.
• Professional and personable, with ability and interest to work in demanding work environment requiring daily interaction with diverse members of a college community.
• Ability to maintain the highest level of confidentiality.
• Flexibility to work extended hours as necessary.
